Terms and Conditions

Clarity keeps the magic seamless. These terms protect your event, our pieces, and the experience we’re creating together.

1. Booking Your Event

When we finalise your booking with Event Studio, we hold them exclusively for your date.

  • Once you receive your invoice, payment is due within three days. Your quoted items will be held during this period. If the deposit is not paid within three days, the items will be released and your event date will become available for new bookings.

  • We require a 50% non‑refundable deposit, along with a signed contract, to secure your booking.

  • By signing the contract and paying the deposit, you confirm that the final quote is accurate and accepted.

  • The remaining balance is due 30 days before your event.

  • A refundable bond 10% of booking total will be added to your remaining invoice balance (due 30 days before your event) and is returned once all items are collected and inspected (refer to section 3 for clarification of client responsibilities and section 5 for clarification of liability).

  • By paying your deposit and signing your contract, you agree to these Terms & Conditions.

If you appoint a planner, coordinator, stylist, or representative to act on your behalf, their approvals and decisions are treated as yours.

2. Hire Period

Your hire period begins the moment our pieces arrive on site and ends when we collect them.

  • A standard hire period with Event Studio is three days — the day before your event, the event day itself, and the day after.

  • Delivery is scheduled for Day 1, and collection is scheduled for Day 3.

  • Items used outside the agreed event date may incur additional hire fees.

  • There are no refunds or reductions for unused time — once the pieces are in your care, they’re exclusively yours for the duration.

3. Client Responsibilities

While items are in your care, you agree to:

Care & Protection

  • Keep all items indoors overnight and protected from weather at all times.

  • Ensure items remain clean, dry, and used as intended. Your event may be finished but we implore you to be mindful of customers using these items after you.

  • Take care of items when moving. Avoid rough handling, dragging, dropping, or placing items on uneven, unsafe, or abrasive surfaces.

  • Keep items away from candles, flames, oils, liquids, hairspray, sharp objects, or anything that could stain or damage finishes.

No Alterations

To protect the integrity of our pieces, the following are not permitted under any circumstances:

  • Screws, nails, hooks, glue, tape, adhesives, or attachments of any kind

  • Painting, staining, sanding, or modifying items

  • If you have any questions about our hire items and how you would like to use them, please contact us. We may have a solution for you.

No Sub‑Hire

Our pieces are for your event only. They cannot be:

  • Sub‑hired

  • Loaned

  • Used at additional locations

  • Passed to another vendor or venue

Delivery, Access & Pickup:

You agree to:

  • Use the delivery and collection service provided by Event Studio.

  • Provide safe, unobstructed access for delivery and pickup.

  • Ensure driveways, paths, gates, lifts, and entry points are clear and suitable for moving furniture.

  • Ensure someone is onsite for the agreed delivery time to receive items at delivery and return them at pickup.

  • Ensure the site is ready at the agreed delivery time, and all items are packed down and ready at the agreed pickup time.

  • Ensure access conditions are safe, stable, and appropriate for the movement of furniture and equipment.

Event Studio is not responsible for damage to lawns, paths, decks, or access areas caused by the necessary movement of items or equipment.

If access is blocked, unsafe, or requires additional labour (e.g., long carries, stairs, difficult terrain), or if the site is not ready when we arrive, additional charges may apply.

We agree to:

  • Deliver and collect all Event Studio pieces with care, ensuring they arrive in the condition expected.

  • Place items in the agreed sheltered delivery area, provided access is safe and reasonable.

  • Communicate delivery and pickup windows clearly so you know when to expect our team.

  • Handle all items professionally to minimise disruption to your venue, home, or event space.

  • Notify you immediately if access conditions prevent safe delivery or collection, and work with you to find a suitable solution.

  • Notify you immediately if there is any major damage to the items we are supplying and our plan to fix the issue.

Damage & Notification

  • If something isn’t right on delivery, tell us immediately — not after the event. We take a solutions‑focused approach to any issues and will do our best to resolve them quickly.

  • If damage occurs during your hire period, notify us at pickup. Honesty is appreciated and will always be received gratefully.

Damage, Loss & Replacement

If an item is damaged, lost, or not returned, the following charges apply:

  • Full replacement cost for items that cannot be repaired or are missing.

  • Repair fees for minor damage. These will be assessed on a case-by-case basis and may be taken from your bond.

  • Cleaning fees for stains, spills, wax, oils, makeup, or residue requiring professional cleaning.

  • Lost hire fees if an item is out of rotation for future events. Each piece is booked in advance, and damage can impact another client’s event, so we take this seriously.

We will always be fair — but also protect the integrity of our collection and future bookings.

4. Changes, Cancellations & Postponements

Changes

  • You may adjust your order up to 90 days before your event. Reductions capped at 20% of the original order value, and increases are subject to availability.

  • You may reduce item quantities within 90 days, however the original order value will still apply.

  • Additional items may be added within 90 days, subject to availability, and will increase your total order value.

Cancellations

  • Your deposit is non‑refundable.

  • If you cancel within 90 days of your event, the full order value becomes immediately payable, regardless of the standard payment schedule. An invoice will be issued upon cancellation.

Postponements

  • If you postpone your event within 90 days and we are unable to supply your new proposed date, this will be treated as a cancellation within 90 days, and the full order value will remain payable.

  • We understand plans can change and we will always do our best to work with you, however postponements create financial loss for our business – the original event date can no longer be rebooked, which we reserve exclusively for you and may otherwise have been booked by another client.

  • Postponements are subject to availability of your new event date.

  • A postponement fee may apply and will be reviewed on a case-by-case basis.

  • Pricing may be updated to match the new event date.

5. Insurance & Liability

While our pieces are in your care, you are responsible for them.

  • You are responsible for insurance covering loss, theft, damage, or liability.

  • For high‑value bookings, we may request proof of event insurance.

  • Event Studio is not liable for injury, property damage, or venue damage arising from the use of our items.

  • You agree to indemnify Event Studio against any claims arising from your event.

6. Ownership

  • All items remain the property of Event Studio at all times.

  • If items are not returned, you authorise Event Studio or a nominated representative to enter the property (or venue) to retrieve them.

7. Privacy

  • We respect your privacy. Any personal information you provide is used solely for your booking, communication, and operational requirements. We do not sell or share your information.

  • Refer to our Privacy Policy for further information.

8. Force Majeure

If an event outside our control occurs — including natural disasters, extreme weather, government restrictions, venue closures, or any circumstance that makes delivery unsafe or impossible — we will work with you to reschedule your booking to the next available date.

  • Deposits are non‑refundable.

  • If you have paid in full, your payment will be transferred to your rescheduled date.

  • If a suitable rescheduled date cannot be agreed, or if you choose not to reschedule, all payments made will be held as a credit for 12 months. Credits not used within this period are forfeited.

  • Refunds are not offered in Force Majeure situations.

This clause reflects standard industry practice following COVID‑19 and recent extreme‑weather events.

9. Disputes

If something isn’t right, we’ll talk it through. Both parties agree to negotiate in good faith to resolve any concerns. If a resolution cannot be reached, both parties agree to seek mediation before pursuing legal action.

10. Severability & Waiver

If any part of these terms becomes invalid, the rest still apply. If we don’t enforce a term immediately, it doesn’t waive our right to enforce it later.
